Turn Your Store Into a Real Warehouse — The Fulnex Guide

Most small business owners running stock think they have two choices: pay a third-party warehouse to handle everything, or keep wrestling with spreadsheets and post-it notes. There's a third option that almost nobody talks about — turn your existing space into a properly-run warehouse using nothing more than the cellphones your team already owns. That's what Fulnex does. This guide explains how it works, who it's for, and what changes when you stop guessing and start running real operations.

Why most South African store owners struggle with stock

Talk to any SA business owner running an online or retail operation and you'll hear the same complaints. Stock that says 'in stock' but isn't. Pickers walking the same aisle five times because nothing is organized. Customer complaints about wrong items. Two stores sharing the same warehouse but somehow always overselling. Spreadsheets that take hours to reconcile every night.

The root cause is almost always the same: there's no system between the order and the shelf. Orders live in your store platform. Stock lives in someone's head. The space lives in chaos. Every operation runs on the strength of one or two people who 'know where everything is' — which is a disaster waiting to happen the moment they're sick, on holiday, or leave.

What you actually need is the same thing big warehouses have: a system that tells someone exactly which item to pick, from exactly which location, in exactly which order. Until recently, that kind of system meant industrial software, custom hardware, and months of implementation. Fulnex changes that.

What Fulnex does: turn your space into a real warehouse

Fulnex is a warehouse management system that runs in any web browser, including the one on your cellphone. You don't need specialized hardware to start. You don't need an IT team. You don't need a warehouse the size of a soccer field. What you need is stock, somewhere to put it, and someone willing to scan a barcode.

Here's what happens once Fulnex is set up:

  • Every product gets a bin location — a specific spot on a specific shelf, labelled with a barcode
  • Every order flowing in (from WooCommerce, manual entry, or any source) gets converted into a pick list
  • Pickers open Fulnex on their phone and get a step-by-step route through your warehouse
  • They scan each bin barcode, confirm the item, and confirm the quantity
  • Stock levels update in real time — no manual reconciliation
  • Packed orders get shipping labels generated in the app
  • Every movement is logged, so you always know what happened and when

Who Fulnex is for (it's not just WooCommerce stores)

Fulnex started with WooCommerce integration because it's the most common e-commerce platform in South Africa. But the core of Fulnex — the warehouse itself — works completely independently of any sales channel. If you have stock and need to manage it, Fulnex works for you.

Business typeHow they use Fulnex
WooCommerce storesAuto-pull orders, pick-pack-dispatch, multi-store stock pool
B2B wholesalersManual order entry, pick from bins, dispatch with branded labels
Retail with online sideUse Fulnex for the warehouse side, your POS for in-store sales
Manufacturers / packersTrack raw materials, finished goods, batch numbers, expiry dates
Drop-shippersTrack which orders are with which supplier, manage incoming stock
Subscription box businessesRecurring pick lists, bin replenishment, customer-specific kits
Supplement / cosmetics / food sellersFEFO allocation, batch traceability, expiry tracking
Importers / distributorsReceive stock by SKU, manage warehouse zones, track movements

If you have stock, you can use Fulnex

The Warehouse module works completely independently of WooCommerce. You can add orders manually, import them from CSVs, or eventually sync from other channels. The picking, packing, bin management, and stock tracking happen the same way regardless of where the order came from.

Pick orders from a cellphone (no specialized scanners needed)

This is the part most warehouse software companies don't want you to know: you don't need expensive scanners to run a real warehouse. The cellphone in your picker's pocket is more powerful than most industrial scanners from five years ago. Fulnex was built mobile-first from day one.

Here's what cellphone picking looks like in Fulnex:

  • Picker opens Fulnex in the browser on their phone — no app install required
  • They log in once with their staff PIN or account
  • Available pick lists show up — sorted by priority, ready to start
  • They tap one to start picking
  • The screen shows: 'Go to bin A-12, pick 3x Whey Protein 1kg'
  • They walk to the bin, point their camera at the barcode (uses the phone's built-in camera)
  • Fulnex confirms the right bin, they scan the product, confirm the quantity
  • Next item appears: 'Go to bin B-04, pick 1x Multivitamin 60s'
  • Continue until the list is done — system marks the order as ready to pack

What about dedicated scanners?

Cellphones work great until you're doing 200+ orders per day. At that volume, dedicated scanners (CipherLab, Zebra, Honeywell — R3K-R8K each) become worth it because they're faster, more durable, and have physical scan triggers. Fulnex supports both. Most businesses start with cellphones and add scanners later only if volume justifies it.

The full Fulnex warehouse workflow

Once Fulnex is set up, your operations look something like this every day. The whole flow runs through Fulnex from start to finish — no spreadsheets, no manual stock updates, no end-of-day reconciliation.

What Fulnex replaces (and what it costs)

Most SA businesses cobble together three or four tools to run their stock: Excel for inventory, a label printer's software for shipping, a separate stock-take spreadsheet, post-it notes for pick lists. Fulnex replaces all of those with one system.

Here's a realistic comparison of what fulnex replaces versus what most SA businesses are using right now:

Current setupCost per monthWhat goes wrong
Excel + WhatsApp + memoryR0Oversells, lost stock, wrong items, no audit trail
Google Sheets + manual entryR0Slow, error-prone, breaks at 50+ orders/day
WooCommerce aloneR0Stock only on one channel, no picking, no bin tracking
Third-party warehouse (3PL)R8K – R45K/monthPer-order fees eat margins, no control, slow returns
Global WMS (NetSuite, Cin7)R15K – R80K/monthBuilt for global, not SA. USD pricing, complex setup.

Fulnex pricing in real ZAR (no surprises)

Fulnex is priced in South African Rand. No exchange rate surprises, no USD invoices, no international credit card fees. Billing runs through PayFast — the same payment system most SA online stores already use.

Why being built in South Africa actually matters

Most warehouse software you'll find online was built in the US, UK, or Australia for businesses in those markets. They charge in USD, expect you to have a barcode-printing infrastructure, assume 24/7 reliable power and internet, and have never heard of Sage Evolution or PayFast.

Fulnex is built by someone who runs a real South African warehouse every day. That shows up in small ways that matter:

  • Pricing in ZAR — no exchange rate shocks when the Rand drops
  • PayFast billing — the system you already use for your store
  • Designed to work on the network you actually have, not Silicon Valley fibre
  • Mobile-first because that's what your staff actually own
  • Future Sage Evolution integration because that's what most SA businesses run for accounting
  • Support during SA business hours, in English (and Afrikaans on request)
  • POPIA-compliant from day one, not retrofitted
  • Understands SA realities: load shedding, courier delays, public holiday backlogs

Frequently asked questions

Do I need WooCommerce to use Fulnex?

No. The Fulnex Warehouse module works completely independently of WooCommerce. You can enter orders manually, import them from CSV, or eventually sync from other channels. WooCommerce integration is a feature, not a requirement.

Can my pickers really use just their cellphone?

Yes. Fulnex runs in any web browser, including the one on your picker's phone. They scan barcodes using the phone's built-in camera. No app to install, no scanner to buy. Most businesses start this way and only upgrade to dedicated scanners once they're doing 200+ orders per day.

How long does setup take?

About a week of part-time work. Day 1 is sign-up and planning. Days 2-4 are labelling bins and scanning stock in. Days 5-7 are training and parallel-running. By Day 8 you're fully on Fulnex. No consultant, no implementation fees, no go-live meetings.

What if I'm running multiple WooCommerce stores?

Multi-store stock pooling is one of Fulnex's core features. The Growth plan supports 3 stores, Professional supports 5. All stores share one stock pool, so you can never oversell — when stock is taken on one store, the others update in real time.

Does Fulnex work for manufacturing or just retail?

Both. The Warehouse module handles finished goods today. The Production module (in development) adds Bills of Materials, dispensing plans, FIFO/FEFO allocation, and adherence tracking specifically for manufacturers. SA supplement, cosmetic, and food businesses are a major use case.

Can I track batch numbers and expiry dates?

Yes. Every bin in Fulnex can hold stock with a specific lot number and expiry date. FEFO (First Expiry First Out) allocation makes sure your oldest stock ships first. Essential for supplements, food, cosmetics, and pharmacy.

What happens if I cancel?

You can cancel any time. Your data stays accessible for 30 days so you can export everything. No contracts, no lock-in. The whole point of Fulnex is to give you operational control — that includes the right to walk away if it doesn't work for you.

Do I need to be technical to use Fulnex?

No. If you can use WhatsApp and WooCommerce, you can use Fulnex. The hardest part is labelling your bins, which is just sticking barcodes on shelves. Picking and packing are designed to be operated by anyone with a phone, in any language.

What kind of internet do I need?

Fulnex works on basic mobile data (3G works, 4G is better, fibre is great). The picking interface is designed to be lightweight so it works in warehouses with patchy WiFi. Future versions will include full offline mode with auto-sync.

Is my data safe?

Yes. Fulnex runs on Supabase (Postgres) with row-level security — every business sees only their own data. All connections are HTTPS-encrypted. POPIA-compliant by design. We never sell or share customer data.
